We can provide LA Approval for Education Visits
Our new visit approval system EVOLVE is now in operation and will be replacing the current LA Approval Form.

EVOLVE is an online tool for planning and managing educational visits, on-site activities, after school clubs and sports fixtures. It is currently used by over 19,000 schools across the UK, and more than half a million staff have used the system to efficiently plan and approve 1.2 million visits and activities – and counting!

It helps schools, colleges, trusts and Local Authorities to improve and simplify the process of planning, approving, monitoring, evaluating and reporting all learning which takes place outside of the classroom.

It is proven to reduce paperwork, simplify procedures, produce self-review and inspection preparation data, and improve staff confidence in that they automatically follow both employer, and National Guidelines.

For support in using EVOLVE, please download the EVOLVE Starter Guide for Education Visit Co-ordinators

“The use of Evolve has completely revolutionised the management of all our external events and visits and It has provided us a very effective tool to monitor schools’ compliance. Overall, the benefits of using EVOLVE far outweigh's the old system”

NEW School year - How to update participants already in EVOLVE

If participants are already on the system and they need to be updated to reflect their new class/group, this can either be done by moving them individually or in bulk (whole class/group).

  • Log in to EVOLVE using an EVC account
  • Select the Dashboard icon on the Homepage
  • Select Participants
  • Search for the student/group you wish to move by typing in their name or selecting a group from the drop down menu
  • Check the box next to this student or click "Select All"
  • From the "Choose Action" drop down menu, select "Move Selected"
  • Type in the name of the group you wish to move the participant to
  • Click the blue arrow icon
  • An info' box will appear, confirming that the participant has been moved
  • Alternatively, you can delete all participants and re-upload a new CSV file of participants as their history will remain intact due to EVOLVE recognising their unique pupil number (UPN).Follow the same steps as above but choose "any group” at the top of the screen (to capture all) and then choose "Delete Selected” at the bottom of the screen.

Pupils that are leaving school

EVOLVE stores all pupil data via their UPNs, so if you have pupils that are leaving the school, it is advisable to create a new group, ie "Leavers 2014" and move students to there, as opposed to deleting them. This way, all historic pupil data will be retained on past visits.

Please note: EVOLVE records the participant's UPN, therefore it is possible to delete a participant and re-upload while retaining the visit history (provided the same UPN is used each time the Participant is uploaded).

Alternatively, you can delete all participants and re-upload a new CSV file of participants as their history will remain intact due to EVOLVE recognising their unique pupil number (UPN).Follow the same steps as above but choose "any group” at the top of the screen (to capture all) and then choose "Delete Selected” at the bottom of the screen.

Useful Resources

The Importance of Outdoor Education

The use of the outdoors makes a major contribution to physical and environmental education and enhances many other curriculum areas. It contributes to personal growth and social awareness and develops skills for life and the world of work.

Methods used include skills-focused learning, problem solving, team building and self-reliant journeys and activities, with residential experience an especially valued feature. Outdoor activities provide valuable alternative, often non-competitive, avenues for achievement, as well as opportunities to develop independence and self-reliance.

A good example is Colomendy in North Wales - We have strong links with the centre and can help you co-ordinate visits.

Through successfully facing up to the challenges which outdoor activities provide, overcoming fears and apprehensions along the way, young people make major strides in confidence, with implications for all aspects of their development.
